Pricing and contracts
How much does a workflow retainer cost?
Two tiers. Operator at $2,000/month covers 8-10 hours of focused work and one active workflow at a time. Operator Pro at $5,000/month covers 20 hours, multi-workflow systems, and weekly strategy calls. Both tiers include audit, build, documentation, and full ownership of every workflow. What is included in the retainer?
The audit, monthly roadmap, build sprints, documentation, source code, credentials handover, and recurring check-in calls. Subscription costs for tools like HubSpot, Make, OpenAI tokens, or Twilio are billed to your account directly so you keep pricing transparency and ownership.
What is the minimum contract length?
An initial 90-day engagement so the audit, first build, and iteration cycle can complete. After that the retainer is month-to-month with 30-day notice. There are no annual contracts.
Can I cancel or pause?
Yes. After the first 90 days you can cancel with 30-day notice. You can also pause for up to one month per quarter at no cost; your slot is held and your roadmap waits for you.
Technology and integrations
What integrations do you support?
Anything with an API. Common ones include HubSpot, Salesforce, GoHighLevel, ServiceTitan, Stripe, QuickBooks, Shopify, Square, Twilio, Slack, Google Workspace, Microsoft 365, OpenAI, and Anthropic. Legacy systems without APIs may require a separate Legacy Integration add-on.
Will I be locked into a specific AI vendor?
No. We design workflows so the AI provider can be swapped. Most builds use OpenAI or Anthropic with an abstraction layer between your business logic and the model. If a model is deprecated or pricing shifts, you can swap with minimal rework.
Do you build with no-code tools or custom code?
Whichever fits the job. Make, Zapier, and n8n cover most flows in a fraction of the time. Custom code (TypeScript, Python) shows up when a workflow has logic too complex for no-code or when latency or cost matters. We never custom-code something that should be a Zap.
Security and ownership
How do you handle data privacy and security?
We follow industry best practices: least-privilege API keys, encrypted secret storage in your password manager or AWS Secrets Manager, no real PII in test environments, and access revocation at offboarding. We are not currently SOC 2 attested. If your business requires that, we will tell you up front and refer you to someone who is.
Who owns the workflows we build?
You. Every workflow is built in your accounts with credentials in your name, source code lives in a repo we hand over, and documentation goes with it. If we part ways, the workflows keep running because they were always yours.
Onboarding and fit
What does onboarding look like in week one?
Audit call gets scheduled within 48 hours. We request read-only access to the systems we need, send a short operations questionnaire, and book the first weekly check-in. Most clients invest 3-5 hours of their own time in week one and very little time after that.
Do you offer fit guarantees?
Yes. If the audit reveals the retainer is not the right fit (no workflow is worth automating, your data is too messy to work from, or you are too early stage), we refund the unused portion of the first month and refer you to someone better suited. We turn down clients more often than we sign them.
How is this different from hiring a one-off consultant?
One-off consultants ship a deliverable and disappear. Workflows that touch your operations break, drift, and need updating as your business evolves. A retainer means someone is responsible for keeping them running and improving them, instead of you discovering a broken automation at 9pm on a Friday.
Do you work with non-US clients?
We focus on US-based businesses. We will consider Canadian and UK clients case-by-case but cannot currently support EU GDPR-heavy work or data-residency requirements. If you are in those situations we will refer you to a partner who specializes in them.
What if we need 24/7 support?
The retainer covers same-day response during US business hours (9am-6pm ET, Monday-Friday). For 24/7 monitoring we recommend pairing the retainer with a managed service partner; we are happy to refer.
